Using the Copier to Scan and E-mail Documents
Your Kyocera Printer/Copier can be used to scan documents containing both text and graphics. Once they are scanned, you can email the documents to yourself, parents and colleagues with easy-to-use controls on the copier control panel. They can also be sent to your school server. This is an excellent way to document and share student work as well as creating files for a student’s electronic portfolio.
Hard-copy documents can be converted to PDF (Portable Document Format) files which can be opened on any computer using Adobe Acrobat Reader. This is a free program which is on all teacher laptops. Just follow the steps below. If you want to edit the PDF, you will need to purchase Adobe Acrobat Standard ($27.00).

Scan and E-mail
When scanning to email, it is best to send it to yourself, review the PDF, then email it to the recipients as an attachment. To scan a document and email it:
- On the left side of the Copier Control Panel, press the Scanner button
- On the Scanner screen, touch Send E-mail
- On the next screen, touch Address book
- Of the 3 tabs at the bottom of the Address Book, touch Corp. Addr.
- On the next screen, touch Search for letters
- In the keyboard screen, type the first several letters of the last name of the e-mail recipient, and touch End
- If multiple recipients are listed, navigate to the correct name using the arrow keys
- To send the email To the selected recipient, touch To: If you would like to CC: instead, touch CC:
- To send to additional recipients, repeat steps 5-8 for each
- When all recipients have been selected, touch Close
- Put the document in the feeder face up
- Press the Start button









Note: It is not always necessary to type in the full last name of the recipient (s) in question. Type in the first few letters, select “End,” and you will see a list of names. Navigate to the correct name using the arrow keys

The screen updates to show recipent(s)



The document is sent to the recipient(s) as a PDF attachment.
The sender will be XX-COPIER-Y, where XX is the school abbreviation, and Y is 1, 2, or 3 depending on which Kyocera copier you are scanning from.
Scan to Generic Drop Box
Distribute a document to your staff by sending it to your school server in a Generic Drop Box:
- On the left side of the Copier Control Panel, press the Scanner button
- On the Scanner screen, touch Scan to PC
- On the next screen, touch Address book
- Of the two tabs at the bottom of the Address Book, touch Common Book
- If it is not already selected, touch Generic Drop Box
- Touch Close
- Put the document in the feeder face up
- Press the Start button








The document will be available on your school server as a PDF file
