Public Calendars

Each school has a public folder available in Outlook visible only to each school's staff. School resources such as newsletters can be posted here. Many schools are putting a public calendar in the folder for use in scheduling the mobile lab.

Typically, the calendar is set up so that everyone in the school can view the calendar, but only one or two people can edit it. This way teachers can see when the lab is available and then ask to reserve it for then. The librarian or whoever is responsible for scheduling the cart could ask any pertinent questions--like whether the teacher needed additional programs installed or needed help training the class the first time, and then would schedule it on the calendar.

Setting Up Public Calendars

To set up a public calendar:

  1. Open Outlook
  2. If you do not see Public Folders, from either the View menu or the Go menu, choose Folder List (the command is in different menus in different versions of Outlook)
  3. Click the plus sign next to Public Folders, and then click the plus sign next to All Public Folders
  4. Locate and right-click on the folder for your school
  5. Choose New Folder
  6. NOTE: If New Folder is grayed out, you do not have permission to create folders yet. See your Office Manager and ask that the steps at the bottom of this page be followed.

  7. Name the folder
  8. Click the drop-down for Folder Contains and choose Calendar Items
  9. Click OK
  10. The calendar will be listed under the school folder

  11. Right-click on the calendar and choose Properties
  12. Click the Permissions tab
  13. Notice the list of Names. Click on each name to see the Permissions area update.

  14. To give someone permission to create items on the calendar, click Add
  15. Begin typing the person's last name, select the name in the list, click Add, and click OK
  16. Make sure the person you just added is selected, then click the drop-down for Permission Level and choose the appropriate option. Click the different options to see how they change the checkboxes. If the user should be able to create additional subfolders, choose Publishing Author. If the user should be able to follow these steps, assigning rights to others, choose Owner.
  17. Repeat steps 11-13 for each person who should be able to edit the calendar
  18. When finished, click OK

Office Manager Directions

If no one in your school has rights to create folders or calendars, please follow these directions.

  1. Follow steps 1-6 above (When you name the folder, you might name it Library, or Mobile Lab, or Resource Scheduling)
  2. Skip step 7 above (You will leave Mail and Post Items selected and will end up with a subfolder under your school instead of a calendar)
  3. Follow the rest of the steps, giving Owner permission to the person who wants to maintain the schedule for the mobile lab
